Charity Administrator

 Position Details 

Job Title: Charity Administrator
Contract Type: Part-time, permanent
Location: Office-based in Roehampton, with limited flexibility of WFH. 

Hours: 32 hours per week, Friday is essential. Flexible working hours very possible. (3 days may be considered)
Salary: £23,046 – £25,792 per annum pro rata 4 days per week, depending on experience
Benefits: Reasonable expenses paid
Holiday: 30 days per year (including public holidays), pro rata
Pension: Auto-enrolment in a qualifying pension scheme
Start date: As soon as possible

About Rackets Cubed 

Rackets Cubed is a growing charity, founded in 2016, with a mission to enhance the achievement and wellbeing of children in underserved communities. 

We run Community Partnership Hubs and school programmes that combine sport, STEM education, and nutritious meals to inspire Key Stage 2 children while supporting their families. 

Our main office is based in Roehampton, where we also operate our local Community Hub. We deliver programmes across London, the Midlands, Yorkshire, and Manchester, and run a Community Box Programme, providing food support to families through our hubs. 

 

Role Overview 

We are seeking a motivated, organised, and proactive Charity Administrator with a can-do attitude to support the day-to-day running of the charity. 

This is a varied and rewarding role, ideal for someone who enjoys managing multiple tasks, building relationships, and contributing to a mission-driven organisation. The role offers opportunities for professional growth as the charity continues to expand. 

 

Key Responsibilities 

  1. Administrative & Financial Support
  • Provide administrative support across all areas of the charity’s work. 
  • Raise invoices, upload receipts and invoices to Xero, and manage supermarket takings and deposits. 
  • Ensure all internal processes (e.g. MOUs, impact assessments, documentation) are followed accurately. 
  1. Hub & Community Project Coordination
  • Support Hub Managers with food ordering, logistics, and database/booking systems. 
  • Oversee delivery and collection of food donations, including donation apps and supplier relationships. 
  • Produce, print, and distribute notices, flyers, and communications for community supermarkets. 
  1. School & Community Engagement
  • Provide administrative support to Area Programme Managers for school programmes. 
  • Maintain positive relationships with partner schools and community box hubs. 
  • Log food deliveries and participant numbers accurately. 
  • Research underserved areas and build local connections. 
  • Keep contact databases up to date and accurate. 
  1. Communications & Outreach
  • Produce and distribute flyers, starter packs, and other communications materials. 
  • Maintain and update charity media platforms with current staff, contact, and funding information. 
  • Support the development of social media and external communications. 
  1. Flexibility & Teamwork
  • Work closely with senior leaders and the wider team while managing independent tasks effectively. 
  • Be adaptable, proactive, and open to varied responsibilities. 
  • Attend occasional events, hub visits, and school activities nationwide (some may be out of normal office hours – time off in lieu provided).

Person Specification 

Essential 

  • Passion for supporting underserved communities and promoting equality of opportunity. 
  • Excellent relationship-building, networking, and communication skills (both written and verbal). 
  • Confident engaging with a range of stakeholders – schools, councils, corporates, and charity partners. 
  • Strong organisational skills with the ability to manage multiple priorities. 
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable managing administrative processes. 
  • Ability to work independently and collaboratively within a small team. 
  • Proactive, adaptable, and solutions-focused approach. 
  • Willingness to travel occasionally to partner sites and schools. 

Desirable 

  • Experience in an administrative, operations, or finance support role. 
  • Familiarity with Xero or other accounting software. 
  • Experience working in a charity or small, fast-paced organisation. 
  • Understanding of data management and reporting processes.
